company brain

All your business knowledge, in one place.

In most small businesses, what the team knows is spread over folders and mailboxes, and part of it lives only in one colleague's head. A company brain brings it together. Your team searches it or asks a question and gets an answer with the source attached. hexel sets it up for you, on your own server or in the cloud.

what goes in

What goes into your company brain

We start with what you already have. Folders on the server and shared mailboxes are read in, and anything new follows along automatically.

quote-2026-041.pdf

Documents

Quotes and contracts, manuals and site reports. Even a scanned letter becomes searchable.

procedure-returns.docx

Procedures

How you handle a return or bring a new colleague up to speed. What sits in a folder nobody can find becomes the answer to a question.

price-list-2026.xlsx

Price lists

Your own prices and your suppliers', with the discounts per customer. It knows which list is the latest.

projects/van-damme/

Projects

Per customer or per site, the agreements and plans sit together, with the site photos attached.

re: delivery 14 March

Email

The sales mailbox or the company one. An agreement that only lived in an email is easy to find again.

note: planning 2027

Notes

Meeting notes and plans for next year. Whatever someone writes down, the team can ask for later.

answers with sources

You get an answer and see where it came from

Type your question the way you would ask a colleague. The answer points to the document it came from, and one click opens it. If it isn't anywhere, it says so.

AI assistants work with the same knowledge. They prepare a quote or summarise a project, and you check it before anything goes out.

in use here

hexel works in hexelos every day, our own company brain. Every client file is in it, with the quotes and meeting notes attached. What we set up for you, we use ourselves first.

for your whole team

Everyone works from the same knowledge, with their own access

Each colleague logs in with their own account, and you decide per role what they can see. An answer only draws on documents that person has access to. When someone adds or corrects something, it is there for everyone straight away.

where it runs

Your data stays yours

You choose where the company brain lives. Either way, your business knowledge stays with your business.

On your own server

On a server in your office or in your own rack. The documents never leave your network. We set it up and maintain it, remotely or on site.

In the cloud

On a server in the EU that we manage for you. Nothing to install on your side, and your team can log in from a building site too.

Questions we often get

What is a company brain?

A shared workspace where your business knowledge comes together, with your documents and procedures, your price lists and your projects. Your team searches it and asks questions in plain language. Every answer points to the document it came from.

How is that different from a shared drive?

On a shared drive you need to know which folder something is in. In a company brain you ask the question and get the answer, with the source attached. Your existing folders can stay: we read them in and keep them in sync.

Where is our data stored?

On your own server or on a server in the EU that we manage, your choice. Your documents are not used to train AI models, and a data processing agreement sets out what we may do with them.

Can everyone on the team see everything?

Only if you want them to. You grant access per person or per role, and an answer only draws on documents that person is allowed to see.

How does a call work?

Half an hour on Google Meet or at your office. We show a company brain with examples from a business like yours, and you ask the questions yourself. If you want to go further, you get a proposal with a timeline and a price.
